# Finance Administrator - Job Description

## Position Title
Finance Administrator

## Overview
The Finance Administrator is responsible for managing the financial operations, accounts, and reporting functions of the organization, working closely with management and staff to ensure accurate financial records and processes.

## Key Responsibilities

### Accounts & Reporting
- **Daily Process**: Filing, salaries processing, bank reconciliation
- **Periodic Reviews**: 3-month audit review, tax compliance, legal requirements, bookkeeping, IVA management
- **Monthly Reporting**: Sales reporting for TeeOne/Imaster accounting and members

### Bank Account Management
Manage 5 bank accounts with varying authorization requirements:

1. **Santander Payments**
   - Golf Club
   - Social Fund
   - Tour Operators
   - *All require DR authorization*

2. **La Caixa**
   - Golf Club (View only)
   - Holdings Deposit Transfer
   - Holdings and payments
   - *Requires DR authorization*

3. **Bank Restaurant**
   - *Requires DW authorization*
   - 80% bank operations, 20% other functions

### Financial Operations
- **Fixed Assets Management**
- **Members & Competitions**: Financial tracking for member accounts, competitions, and federation activities
- **Lockers**: Management (Note: Should be handled by Paula)
- **TeeOne/Imaster**: Daily reconciliation and cash balance confirmation

### Member Services
- Manage member account inquiries and status requests
- Address questions regarding personal in/out account balances
- Improve organization of Social Fund member accounts

### Payment & Event Tracking
- Track payments for:
  - TeeOne Restaurant
  - Social Fund
  - Events
  - Music
  - Wine
- Monitor attendance and payment status (who paid, who didn't attend)
- Federation in/out transactions

### Staff Relations & HR Functions
- Process staff salaries
- Maintain positive working relationships with all staff members
- Serve as primary point of contact for staff questions and concerns
- Act as liaison between staff and management
- Note: Management should be aware of staff dissatisfaction regarding salaries (particularly Green Keepers who discuss with colleagues at other clubs)

### Reporting Structure
- Reports to: DW (Director/Manager)
- Works closely with all staff members
- Note: Position may evolve with the hiring of a new Finance person

## Qualifications & Skills
- Strong organizational and administrative skills
- Experience in financial management and accounting
- Ability to manage multiple bank accounts and authorization processes
- Excellent communication skills for staff relations
- Attention to detail for reconciliation and reporting
- Proficiency in accounting software (TeeOne/Imaster)

- **Direct Report**: DW
- **Peers**: All staff members
- **External**: Bank representatives, auditors, tax authorities, federation contacts

## Notes
- Current role holder (Salvador) has expressed concerns about position structure following the hiring of a new Finance person
- Role has evolved to include HR-like functions due to being the "go-to person" for staff questions
- Positive working relationship with DW, with ongoing learning and development
