## Job Description: Members' Course Secretary (MCS)

## Role Purpose

The Members' Course Secretary (MCS) chairs the Members' Course Committee (MCC) and represents the interests of the Club's membership in relation to the quality, presentation, and playability of the golf course. The role exists to ensure that member feedback is effectively captured, evaluated, and appropriately communicated to the Club Committee, Board, and Course Management, with the aim of maintaining excellent playing conditions throughout the year.

## Key Responsibilities

### Course Representation & Member Engagement

- Represent Members' interests regarding the condition, quality, and playability of the golf course
- Act as a structured forum for receiving, filtering, and assessing course-related feedback from Members
- Ensure member concerns are acknowledged and, where appropriate, provide feedback to Members on issues raised
- Promote clear, timely, and well-channelled communication between Members, Management, and Governance bodies

### Committee Leadership & Administration

- Chair the Members' Course Committee (MCC)
- Spend sufficient time at the Club to discharge the responsibilities of the role effectively
- Convene and coordinate up to six MCC meetings per year, or more frequently where issues warrant
- Distribute meeting agendas to all participants in advance of each meeting
- Take accurate minutes of MCC meetings, capturing:
  - Issues raised
  - Discussions held
  - Conclusions reached
  - Actions and recommendations agreed
- Ensure MCC meetings are held in advance of Club Committee meetings to allow timely reporting

### Reporting & Recommendations

- Prepare and submit MCC minutes and recommendations to the Club Committee to ensure transparency and oversight
- Present solutions and recommendations aimed at improving:
  - Playing conditions for Club competitions
  - Course presentation
  - Overall member and guest experience
- Work closely with the Board Greens Liaison representative to ensure issues are progressed and addressed where practicable, recognising seasonal, financial, and resource constraints

### Liaison & Governance

- Work collaboratively with:
  - Joint Captains
  - Greens Liaison Officer
  - Managing Director
  - Head Greenkeeper
  - Club Committee
- Ensure MCC members are informed of both short-term and long-term planned course works so they can respond knowledgeably to member queries
- Channel matters requiring Board or Management attention through the appropriate governance routes

## Scope & Limitations of the Role

The MCS and MCC do not have responsibility for:

- Day-to-day management of the golf course
- Long-term course strategy or planning

These responsibilities remain with the Board and Course Management.

The role focuses on advisory input, communication, and recommendations, not operational control.

## Appointment & Term

- The Members' Course Secretary is nominated by the Joint Captains and ratified by the Club Committee at the first meeting of the Joint Captains' term
- The normal term of service is one year, with the possibility of extension up to a maximum of three years
